UCL SSEES: Visitors/Members of the Public (H&S Doc-11)

Staff must take responsibility for their visitors by ensuring that they are not left unattended for any prolonged period of time. For visitors where this is not practicable (i.e. visits lasting more than a few hours) SSEES must maintain a record of any persons studying or working in UCL premises who fall outside the mechanisms for registering longer-term arrangements (e.g. those not covered through the employment contract issued by the Human Resources Division, or registered as Short Course Students by the Department of Educational and Professional Development).

The SSEES procedures for recording short-term visitors are as follows:

Students attending language evening classes

The Manager of the Evening Courses is responsible for maintaining the registration details of all students attending classes and for ensuring that their teachers are aware of the relevant safety policy and their responsibilities.

Academic Short term visits (less than 1 month)

The member of academic staff who is hosting the visit must complete a Visitor Registration form before the visitor arrives and submit it to the SSEES Assistant Director. The latter is responsible for ensuring visitors are made aware of the SSEES Safety Policy and Arrangements and any other information relevant to the visit, for keeping the SSEES Director informed about forthcoming visitors, and for maintaining a record.

Important: Accidents and near-miss incidents involving visitors should be reported by the staff member responsible for the visitor, using the UCL Safety-net system
