UCL SSEES: Assessment for Planning Emergency Evacuation (Special Needs) (H&S Doc-12)

Responsibility for assessing the suitability of the SSEES building and identifying the specific needs of persons with restricted mobility or sensory disabilities is delegated by the SSEES Director as set out below. In all cases, the SSEES Safety Officer can be consulted or asked to provide support with the assessment.

Undergraduate Students

The Admissions Officer is responsible for notifying the Head of Teaching and the UCL Disability Coordinator as soon as practically possible.

The Head of Teaching is responsible for conducting the assessment with the assistance of the disabled person; for making sure that all reasonable adjustments are made to the individual's course timetable/programme to give the student adequate access; for convening a case study conference of all relevant parties (e.g. Academic Administration Manager, Programme Administrator, SSEES Safety Officer, UCL Disability Coordinator (Students) and UCL Fire Officer); and for completing a Personal Emergency Evacuation Plan (PEEP) in respect of the buildings the student will be expected to visit in order to attend courses and other academic events. The PEEP is signed off by the student and the Head of Teaching and distributed for information to the relevant parties.

The PEEP will be reviewed at the start of each academic session to take account of location and other changes for the forthcoming year.

NB The completed PEEP needs to be sent to the SSEES Safety Officer and a copy held in the SSEES Safety Records.



Masters Students

The Admissions Officer is responsible for notifying the SSEES Graduate Tutor (Taught Programmes) and the UCL Disability Coordinator as soon as practically possible.

The SSEES Graduate Tutor (Taught Programmes) is responsible for conducting the assessment with the assistance of the disabled person; for making sure that all reasonable adjustments are made to the individual's course timetable/programme to provide adequate access; for convening a case study conference of all relevant parties (e.g. Programme Tutor/Director, Academic Administration Manager, Programme Administrator, SSEES Safety Officer, UCL Disability Coordinator (Students) and UCL Fire Officer); and for completing a Personal Emergency Evacuation Plan (PEEP) in respect of the buildings the student will be expected to visit in order to attend courses and other academic events. The PEEP is signed off by the student and the SSEES Graduate Tutor (Taught Programmes) and distributed for information to the relevant parties.

Where the programme of study spans more than one academic session, The PEEP will be reviewed at the start of each academic session to take account of location and other changes for the forthcoming year.

NB The completed PEEP needs to be sent to the SSEES Safety Officer and a copy held in the SSEES Safety Records.



Research Students

The Head of Postgraduate Research is responsible for notifying the SSEES Director and the UCL Disability Coordinator as soon as practically possible.

The SSEES Graduate Tutor (Research Programmes) is responsible for conducting the assessment with the assistance of the disabled person; for making sure that all reasonable adjustments are made to the individual's programme to give the student adequate access; for convening a case study conference of all relevant parties (e.g. Academic Supervisor(s), Graduate Studies Administrator, SSEES Safety Officer, UCL Disability Coordinator (Students) and UCL Fire Officer); and for completing a Personal Emergency Evacuation Plan (PEEP) in respect of the buildings the student will be expected to visit during their research programme. The PEEP is signed off by the student and the Head of Postgraduate Research and distributed for information to the relevant parties.

A separate PEEP may be needed in respect of Field/Location Work, in which case it will be the responsibility of the Academic Supervisor to ensure this is done. This should be considered in conjunction with the requirement to complete a Risk Assessment in respect of Field/Location Work (http://www.ucl.ac.uk/expeditions/RiskAsses.pdf) planned by the research student.

NB The completed PEEP needs to be sent to the SSEES Safety Officer and a copy held in the SSEES Safety Records.



Academic Staff

The SSEES Director will notify the UCL Equal Opportunities Coordinator as soon as practically possible.

The SSEES Director is responsible for conducting the assessment with the assistance of the disabled person, for making sure that all reasonable adjustments are made to the individual's office accommodation and other facilities and that the teaching timetable is planned to give the individual adequate access to classrooms. The SSEES Director will convene a case study conference of all relevant parties (e.g. Academic Administration Manager, SSEES Safety Officer, UCL Equal Opportunities Coordinator and UCL Fire Officer) and for completing a Personal Emergency Evacuation Plan (PEEP) in respect of the buildings the member of staff will be expected to frequent to conduct their regular duties. The PEEP is signed off by the staff member and the SSEES Director and distributed for information to the relevant parties.

The PEEP will be reviewed at the start of each academic session to take account of any changes to teaching/event venues as scheduled in the annual teaching timetable.

NB The completed PEEP needs to be sent to the SSEES Safety Officer and a copy held in the SSEES Safety Records.

Support Staff

The SSEES Assistant Director will notify the UCL Equal Opportunities Coordinator as soon as practically possible.

The SSEES Assistant Director is responsible for conducting the assessment with the assistance of the disabled person, for making sure that all reasonable adjustments are made to the individual's office accommodation and other facilities to enable them to carry out their regular duties. The Assistant Director will convene a case study conference of all relevant parties (e.g. line manager(s), SSEES Safety Officer, UCL Equal Opportunities Coordinator and UCL Fire Officer) and for completing a Personal Emergency Evacuation Plan (PEEP) in respect of the buildings the member of staff will be expected to frequent as part of their regular duties. The PEEP is signed off by the staff member and the SSEES Director and distributed for information to the relevant parties.

The PEEP will be reviewed to take account of any changes to the duties included in the individual's job specification.

NB The completed PEEP needs to be sent to the SSEES Safety Officer and a copy held in the SSEES Safety Records.
